This Privacy Policy describes how the operator of Grove Portfolio("Grove," "we," "us," or "our") collects, uses, and shares personal information in connection with our website and the Grove Portfolioservice (collectively, the "Service"). This policy is intended for a United States audience. It is not legal advice; consult counsel for compliance with your obligations.

If you use a different support address in your deployment, that address may be shown in the product; you may use either for privacy inquiries.
Many users are landlords, property managers, or staff working on behalf of a property owner or management company (your "workspace" or "account"). Those accounts may enter or upload information about properties, leases, maintenance, and tenants or residents.
Controller for tenant and resident data. For tenant, resident, and property-operations content that your organization submits to the Service, your organization is typically the business that decides why and how that information is collected and used. Grove processes that information on your organization's behalf to provide the Service (for example, hosting, displaying it to your authorized users, sending operational messages you configure, and running features you invoke).
Grove as operator.We also collect and use certain information as described below to operate, secure, and improve the Service, authenticate users, provide support, and meet legal obligations. Where applicable privacy laws distinguish "business" and "service provider" roles, we act as a service provider when processing customer-controlled tenant or resident data to provide the Service, and as a business for account, website, and operational data described in this policy.
If you are a tenant or resident and have questions about how a landlord uses your information in Grove Portfolio, contact that landlord or manager directly. We may forward requests we cannot verify to the relevant workspace administrator where appropriate.

We collect information directly from you and your users, from account administrators who invite or manage users, from devices and browsers when you use the Service, and from integrations such as inbound email or SMS providers when messages are sent to addresses or numbers configured for the Service.

We do not sell your personal information and we do not use it for cross-context behavioral advertising. We do not share personal information with third parties for their independent marketing purposes.
When you use optional AI-assisted features (such as document classification, extraction, or estimates), content you submit may be sent to our AI subprocessors to generate results returned to your workspace. Do not submit information you are not permitted to share with those providers. AI outputs may be imperfect; see our Terms of Use.
We use service providers to host and operate the Service. They process personal information only on our instructions and appropriate safeguards. Categories include:

We use cookies and similar technologies as needed for session management, authentication, security, and preferences (for example theme). These are primarily functional rather than advertising. You can control cookies through browser settings; disabling certain cookies may limit sign-in or features.
We retain personal information for as long as necessary to provide the Service, comply with law, resolve disputes, and enforce agreements. When you delete content or close an account, we delete or de-identify information within a reasonable period, subject to backup and archival practices and legal retention requirements. Exact timelines may depend on product controls and your workspace settings.
We implement technical and organizational measures designed to protect personal information, including encryption in transit for data sent over the public internet, access controls, and least-privilege practices for infrastructure. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
Depending on where you live, you may have rights to access, correct, delete, or export certain personal information, or to opt out of certain processing. We honor applicable state privacy laws. If we process information solely as a service provider on behalf of your landlord or manager, we may direct you to them for some requests.
California residents (CCPA/CPRA). In the preceding twelve months, we have collected the categories of personal information described in Section 3 for the business purposes in Section 5. We do not sell or share personal information as those terms are defined under California law. You may have rights to know, delete, and correct personal information, and to appeal certain decisions. You will not receive discriminatory treatment for exercising these rights.
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, contact us and we will take appropriate steps to delete it.
We may update this Privacy Policy from time to time. We will post the updated policy on this page and revise the "Last updated" date. For material changes, we will provide additional notice as appropriate (for example email or in-product message).
